Opportunity brief
About Outlfy: Outlfy is a Virtual CTO Partner for growth-stage businesses. We design, build, and run the internal operating systems — CRM, data pipelines, automations, and dashboards — that let founders run their business without running themselves into the ground. We're a small, fast-moving team building real infrastructure for real clients, not shipping decks. About the Role: We're looking for someone who can sit at the intersection of clean engineering and strong visual design, and apply both to CRM work specifically. You'll own the systems that track every lead, every follow-up, and every deal stage for us and our clients — building the logic that makes the data accurate, and the design that makes it usable at a glance. This role involves a high volume of repetitive, detail-heavy work: building and maintaining formulas, checking data integrity, formatting dashboards, refining templates. If you find satisfaction in getting the same kind of task right, consistently, every single time — rather than needing constant novelty — this role will suit you well. What You'll Do: Build and maintain CRM systems (Google Sheets / Excel-based and eventually ERPNext/CRM tooling) with formula-driven logic — VLOOKUP, COUNTIF, AVERAGEIF, IFERROR, INDEX/MATCH — with zero hardcoded or placeholder data Design clean, branded dashboards and CRM interfaces that make lead status, follow-ups, and pipeline health readable in seconds Apply consistent visual design standards (color systems, typography, layout) across every CRM deliverable, matching Outlfy's brand identity Audit CRM data regularly for accuracy, duplicate entries, broken formulas, and formatting drift Build lightweight automations (n8n or similar) to reduce manual CRM upkeep Document CRM structure and processes clearly enough that any team member can pick them up without guesswork Support client-facing CRM builds as we take on more accounts What We're Looking For: Strong coding fundamentals — comfortable with spreadsheet-level logic (Excel/Google Sheets formulas) and ideally some scripting (Python, JavaScript, Apps Script, or similar) Genuine design sense — you can make something look clean and professional, not just functional; familiarity with tools like Figma or strong instincts in layout/typography/color High attention to detail — you catch the broken formula or the misaligned column before anyone points it out Comfortable with repetition — you can do routine, structured work reliably without it becoming sloppy over time Self-directed — you don't need hand-holding once the standard is set Prior exposure to CRM tools, spreadsheets-as-databases, or internal tooling is a strong plus Currently pursuing or recently completed a degree in Computer Science, Design, IT, or a related field What You'll Get: Real, client-facing systems work from day one — not busywork Direct mentorship from Outlfy's founding team A portfolio-ready body of work: CRM builds, dashboards, branded systems Fast growth track — strong performers move into paid, longer-term roles Fully remote, flexible hours
