About the Organization:
The World Association for Small and Medium Enterprises (WASME) is a global non-profit organization dedicated to fostering the growth of SMEs through policy advocacy, capacity building, and networking. Given their focus on international conferences, seminars, and summits, an Event Coordinator for WASME would need to be adept at managing high-level professional gatherings and coordinating with diverse global stakeholders.
About the Role:
WASME is seeking a dynamic and organized Event Coordinator to play a pivotal role in planning, executing, and managing our national and international events. From global summits and policy forums to capacity-building workshops, you will be the backbone of our outreach efforts. You will be responsible for ensuring that all events run seamlessly, promoting professional networking, and reflecting the high standards of our organization as a leader in the global SME sector.
Key Responsibilities:
- End-to-End Event Management: Oversee the lifecycle of events, including conceptualization, budgeting, vendor coordination, venue selection, and onsite execution.
- Logistics & Operations: Manage complex travel, accommodation, and registration logistics for international delegates, speakers, and high-level government/UN officials.
- Stakeholder Engagement: Act as the primary point of contact for speakers, partners, sponsors, and attendees. Facilitate networking opportunities during events.
- Content & Promotion: Work with the communications team to develop event marketing materials, agendas, and press releases. Ensure brand consistency across all event collateral.
- Budgeting & Reporting: Maintain event budgets, track expenses, and provide post-event reports summarizing key outcomes, attendance metrics, and feedback.
- Technical Coordination: Manage virtual or hybrid event platforms, including webinars and digital knowledge forums, to ensure accessibility for a global audience.
- Liaison: Coordinate with various departments, including advocacy and policy teams, to ensure event content aligns with WASME's core mission and objectives.
Requirements:
- Bachelor's degree in Event Management, Communications, Business Administration, or a related field.
- 3–5 years of experience in event planning, preferably within an NGO, international organization, or corporate environment.
- Exceptional organizational and multitasking abilities.
- Strong interpersonal skills, capable of interacting with high-profile stakeholders and diverse international delegations.
- Proficiency in event management software and project management tools.
- Excellent written and verbal communication skills in English (proficiency in other languages is a plus).
- Ability to work under pressure, meet strict deadlines, and handle last-minute logistical challenges with a professional demeanor.
- A strong interest in SME development, global trade, and economic policy is highly desirable.
