Koch is hiring for the role of Administrative Assistant!

Responsibilities of the Candidate:

  • Manage and process managers' expense reports in accordance with company policies.
  • Support consultant and third-party payment processing and tracking.
  • Monitor and track package shipments, deliveries, and receipts.
  • Maintain engineer vacation records and out-of-office schedules.
  • Coordinate onboarding logistics and office-related administrative activities
  • Generate and maintain engineering hours reports and related analysis.
  • Track team utilization, vacation schedules, and resource availability.
  • Prepare reports, presentations, and dashboards for leadership reviews.
  • Order office supplies and maintain inventory levels.
  • Coordinate procurement of laptops, monitors, computer equipment, and other business tools.
  • Manage software, tool, and service subscriptions, including renewals, cancellations, and compliance tracking.
  • Arrange domestic and international travel, including flights, accommodation, transportation, and visa support.
  • Optimize travel schedules while balancing cost, business needs, and traveler preferences.
  • Support travel-related documentation and expense reconciliation.
  • Coordinate meetings and support virtual collaboration across global teams.
  • Maintain and organize documentation within SharePoint and other business systems.
  • Support leadership communications and administrative processes as needed.

Requirements:

  • Minimum 1+ years of experience in an Administrative Assistant, Executive Assistant, Coordinator, or similar support role.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook), Microsoft Teams, and SharePoint.
  • Experience supporting multiple stakeholders and managing competing priorities.
  • Strong organizational, planning, and time-management skills.
  • Excellent verbal and written communication skills.
  • Strong attention to detail and problem-solving ability.
  • Experience working with global and remote teams.
  • Ability to handle confidential information with professionalism and discretion.
  • Ability to work independently in a fast-paced environment.
