HPE is hiring for the role of QuickSpecs Publication Administrator!
Responsibilities of the Candidate:
- HTML Publication Support
- Execute assigned QuickSpecs HTML publication tasks using defined tools and workflows
- Support validation and deployment of content across publishing platforms
- Escalate issues or blockers impacting delivery timelines
- Content Review & Formatting
- Review and revise content for basic accuracy, formatting, and consistency
- Ensure alignment with HPE documentation standards and templates
- Validate completeness of required content elements before publication
- NPI Launch Support
- Assist in tracking deliverables aligned to NPI launch dates
- Ensure assigned tasks are completed within required timelines
- Coordinate with team members to support on-time publication
- Document Updates & Revisions
- Support updates to existing QuickSpecs documents
- Follow version control guidelines and ensure changes are correctly implemented
- Verify that updates are accurately reflected in published content
- Process Tracking & Reporting
- Track progress of assigned tasks and report status to manager or team lead
- Support preparation of reports on publication activities and completion status
- Automation & Tools Usage
- Run predefined bot processes for publication execution
- Monitor outputs and report any errors or inconsistencies
- Follow standard operating procedures for tool usage
- AI & Digital Productivity
- Use HPE AI tools (e.g., Copilot, ChatHPE) to:
- Assist in content review and validation
- Support summarization and reporting tasks
- Improve efficiency in day-to-day activities
- Develop foundational skills in applying AI tools in operational workflows
- Quality Assurance
- Perform basic validation checks on published HTML output
- Ensure formatting consistency and completeness
- Escalate quality issues as needed
- Team Collaboration
- Work with QuickSpecs team members and stakeholders to complete assigned tasks
- Maintain effective communication on progress and dependencies
- Secondary Responsibilities (QuickSpecs Management Support)
- Assist with data validation and content updates as directed
- Support maintenance of QuickSpecs database accuracy
- Contribute to process improvement initiatives as appropriate
Requirements:
- Bachelor's degree in Business Administration, IT, Engineering, or related field
- 0–2 years of experience in content operations, digital publishing, or similar field
- Fresh graduates with relevant skills are encouraged to apply
- Prior experience with Office software, in particular: MS Word, Excel, internal SharePoint Solutions.
- Expertise in Data Analysis and Project Management
- Strong attention to detail and ability to follow defined processes
- Basic understanding of HTML or digital publishing concepts (preferred)
- Willingness to learn automation tools and workflows
- Exposure to AI tools (e.g., Copilot, ChatHPE) or willingness to learn
- Good organizational and time management skills
- Strong communication and teamwork abilities
